Billing members and taking payments

How flight charges, dues, statements and invoices work in ClubHangar, and how members pay online by bank or card, by autopay, or by Zelle, cash or check.

What gets charged

  • Flights: posted at check-in, hours on the aircraft's billing meter times its hourly rate.
  • Dues: posted monthly on statement day. Set the club amount in Settings, and override it per member on Members (0 exempts someone).
  • One-off charges and credits: added by an admin from Billing (Add charge).

Every charge, credit and payment appears in the member's account activity. A wrong entry is voided rather than edited, so the history stays complete.

Statements or per-flight invoices

In Settings, choose how members are invoiced. Statement mode bundles everything not yet invoiced into one invoice per member on statement day (any day from the 1st to the 28th). Per-flight mode invoices each flight and charge as soon as it posts. Set Payment due (days) to give members time to pay.

Invoices are emailed to the member with a link to view and pay them.

Online payments

  1. In Settings, connect your club's Stripe account. ClubHangar walks you through Stripe's setup.
  2. Choose what members can pay with: bank account only, or bank account or card.

Payments go directly to your club's Stripe account. Members can save a payment method and turn on autopay, which pays new invoices automatically.

Payments outside ClubHangar

Add Zelle instructions in Settings and they're shown to members and in invoice emails. Record Zelle, cash and check payments from Billing with Record payment. Payments are applied to the oldest open invoices first.

Reports

Billing shows outstanding, overdue and not-yet-invoiced totals. Admins can download everything still open (open invoices, uninvoiced charges and payments still clearing) as a CSV or PDF.
